TREE AID is an international development organisation – founded in 1987 – that helps villagers living in the drylands of Africa unlock the potential of trees to reduce poverty and protect the environment. With its headquarters in Bristol, UK, Tree Aid currently has operations in 5 countries: Burkina Faso, Ghana, Mali, Ethiopia and Niger.

In Ghana TREE AID has its Country Office in Tamale established since October 2012 as part of a decentralization process. TREE AID Ghana is operating in the three regions of Northern Ghana with some scope for working in the Northern portions of Brong-Ahafo and the Volta regions.

Job Description

OVERALL AIM: To assist in the effective financial and administrative management of TREE AID’s Ghana Office including financial aspects of partners’ project report assessments.

KEY OBJECTIVES

  • Support the implementation of TREE AID Ghana programme.
  • Ensure timely and accurate financial reporting.
  • Assist with financial management, developing and maintaining finance and accounting procedures.
  • Ensure an effective work environment is maintained.

RESPONSIBLE TO: Tree Aid Ghana Country Programme Manager

JOB DURATION: Full-Time One year position (with possibility of extension subject to performance and fund availability)
MAIN TASKS

Support the implementation of TREE AID Ghana programme

  • Support the Finance and Resources Manager in developing and implementing project partner support strategies in administrative and financial management.
  • In liaison with programme staff, establish contact with service providers to develop budgets for programme workshops, receptions, projects visits and implementation of other activities.

Ensure timely and accurate financial reporting

  • Record/capture data on project expenditure on QuickBooks.
  • Prepare and share input for monthly management accounts using the computerised accounting system.
  • Produce accurate and timely monthly reports on bank payments, reconciling this with the bank statement, liaising with the WAO/UK Finance and Resources Staff.

Assist with financial management, developing and maintaining finance and accounting procedures

  • Ensure that financial procedures are followed and accurate financial records are maintained, including liaising with staff from other departments.
  • Assist in the annual office budget preparation.
  • Process all invoices and oversee payment including cheques preparation and signature.
  • Manage and reconcile advances for programme activities and overseas visitors.
  • Manage and report on expenditure of the office petty cash.

Ensure an effective work environment is maintained.

  • Assist the Finance and Resources Manager in drivers’ use and regular maintenance of vehicles, including fuelling.
  • Carry out office supplies and equipment purchase process and support staff in the use of office equipment.
  • Maintain an up to date the office equipment inventory and undertake security checks.
  • Maintain an effective financial filling system with a particular emphasis on effective information retrieval, making recommendations for new systems and improvements.

Other

  • Produce an annual work plan for the role.
  • Contribute to TREE AID’s strategic process.
  • Prepare for and participate in regular one-to-one progress and planning meetings with the Finance and Support Manager, and other staff meetings as appropriate.
  • Undertake other tasks in agreement with the Finance and Resources Manager.

Required Skills or Experience

  • Graduate in Renewable Natural Resources, Environment and rural development, Forestry, Horticulture or other related subjects. Master degree in the relevant field will be an added advantage.
  • Must have three (3) years working experience in a similar position
  • Excellent attention to detail and good field work skills.
  • Excellent verbal communication and written skills
  • Ability to balance a number of conflicting demands.
  • Must be computer literate – good in excel, word, power point and spread sheet.
  • Must be Confident, hard working, work under pressure, and time conscious.
  • Ability to work independently, self initiative and with good team work and rapport
  • Ability to meet deadlines and achieve targets including extensive travel in the field.
  • Must have working knowledge in one of the languages spoken in northern Ghana. Ability to speak French is an added advantage.

  • Contribute to Raising the profile of TA’s River Trees Project(s) with external audiences and donors under GCPM responsibilities
  • Achieving agreed job targets.
  • Timely provision of projects reports and other information requested
  • Evidence of effective monitoring & evaluation systems development and adherence and consistency between these and TREE AID Monitoring & Evaluation systems.
  • Good communication and relations with all staff, in Ghana, the UK and West Africa as well as with TREE AID partners and other TREE AID contacts.
