1. ASSESSMENT

The policy document on the Diploma in Basic Education Programme recommends that the assessment of students should be two folds:

  • 40% Continuous Assessment (C.A) from the College (internal assessment). The type of C.A envisaged is the continuous in-course teacher assessment where tutors will play a major role in C.A.
  • 60% End-of Semester Examinations by the Institute of Education, UCC

2.  CONTINUOUS ASSESSMENT (C.A)

Course tutors will handle the C.A component of the assessment but will be guided by the following as the number assessments to be recorded in a course for each semester.

  • 1 Credit   = 1 Assignment   (10 marks) + 1 Class Test (30 marks)   = 40 marks
  • 2 Credit   = 1 Assignment   (10 marks) + 2 Class Test (30 marks)   = 40 marks
  • 3 Credit   = 2 Assignment   (15 marks) + 2 Class Test (25 marks)   = 40 marks

In practical oriented courses, 60% of the CA must come from practical assessments
The Institute of Education monitors and moderates the questions and scoring procedures that the College uses in generation the C.A. scores.

3.  END-OF–SEMESTER EXAMINATION

A semester lasts for sixteen weeks. The End-of-semester examinations will be conducted at the College by the Institute of Education on behalf of the University of Cape Coast.

In line with the Semester Course Unit System (SCUS) of the University of Cape Coast, the fourteenth week will be used as a revision week whilst the last two weeks will be used for the End-of-Semester Examination.

4.  DURATION OF END-OF-SEMESTER EXAMINATION

The duration for End-of-Semester Examinations will be determined by the credit weighting of the course as follows:

  • 1 credit course             –           1 to 11/2 hours
  • 2 credit course             –           11/2 to 2 hours
  • 3 credit course             –           2 to 3 hours

5. MARKING OF END-OF-SEMESTER EXAMINATION SCRIPTS

A centralized residential-conference marking is organized by the Institute of Education for the End-of-semester Examinations.

6. GRADING SCALE

In accordance with the Academic Regulations of mentor institution (UCC), the following scheme is        used in the College:

7.  PROGRESSION FROM FIRST YEAR TO SECOND YEAR

To progress from first years to second year, a student must:

  • Pass All Courses taken
  • Accumulate the minimum credits specified for first year
  • Attain a minimum Cumulative Grade Point Average ( CGPA) of 1.0

8. AUTOMATIC WITHDRAWAL OF A FIRST YEAR STUDENT

A first-year student who obtains more than five (5) ‘Es’ will be withdrawn outright.

9.  SUPPLEMENTARY EXAMINATION FOR FIRST YEARS

A first-year student who attain the minimum C.G.P.A. of 1.0 but obtains five ‘Es’ must redeem himself/herself in a supplementary Examination conducted before the beginning of the next academic year.

A student will be withdrawn outright if he/she is unable to redeem himself/herself in the supplementary examination.

10.  PROGRESSION FROM SECOND YEAR TO THIRD YEAR

To progress from second year to third year, the student must:

  • Accumulate the minimum credits specified for second year.
  • Attain a minimum CGPA of 1.0
  • Obtain not more than two(2)’Es’

A student who fails to satisfy any of (a), and (c) above will be withdrawn outright.
Those who satisfy conditions(a) and (b) but obtain one or two ‘Es’ may trail the failed courses and redeem themselves by the end of the next academic year, else they would be withdrawn.

RESIT FOR FINAL YEAR STUDENTS

A student shall be allowed two chances to write a re-sit paper after the final examinations.

TRAILING AND REPETITION OF COURSES

To trail a course means to carry the course over to a subsequent semester or academic year.
If a student passes a repeated course, both grades will appear on the student’s transcript and will be used in computation of his/her CGPA.

CLASS ATTENDANCE POLICY

To obtain a grade for a course, the student shall not absent himself/herself for more than an equivalent of three weeks contact hours for the course. For a one- credit course, the number of classes missed by the student shall not exceed three (3) for a two-credit course, the number of classes missed by the student shall not exceed six (6) and for a three-credit course, the number of classes missed shall not exceed nine (9).

A student who exceeds the maximum allowable credit hours for any course SHALL not write end of semester examination in the course.

In the case of the out programme students (interns), any student teacher who absents himself/herself from class for 3 weeks, shall be withdrawn from the College. This should be cumulative and not necessarily consecutive

If for medical reasons, a student cannot meet the class attendance requirements, he/she must be advised to defer the course through the due process. To get approval for deferment, the student must submit a medical report certified by a recognized medical Superintendent. Such medical report should reach the Principal within 21 days of the period of absence.

DIPLOMA CLASSIFICATION

Diploma will be classified according to the student’s Cumulative Grade Point Average (CGPA) as follows:

REQUIREMENTS FOR OBTAINING A DIPLOMA

To qualify for a diploma a candidate must satisfy the following requirements:

  • Pass all core courses
  • Pass all elective courses (if any)
  • Accumulate the minimum number of credits specified for the three (3) year programme
  • Attain a minimum CGPA of 1.0
  • Settle all financial and other obligations to the College
  • The student should be in good standing, not barred for disciplinary reasons

Guidelines for Deferment of programme

Deferment of programme shall be allowed for students at level 200 and above only. Students who due to genuine reasons wish to defer their programme should first consult their academic counselor for advice.

Deferment will be granted for one academic year only within the entire duration of the programme. 44.3Deferment is NOT allowed for one semester.

An application for deferment of a programme of study must be made and approved two (2) months before the beginning of the academic year the student wishes to defer. Severe and sudden medical/emergency cases shall be dealt with on their own merits.

Applications for deferment of programme of study shall be addressed to the Principal through the Vice Principal who will forward it to the Principal with his/her comments.

Where an application for deferment is on medical grounds, the application must be supported by a medical report certified by a medical Superintendent of a recognized hospital.   

 

ACADEMIC COUNSELLING

The College shall provide counseling in general matters to all registered students through the counseling unit of the College. In addition, every student shall be assigned an academic advisor (Class advisor) who shall be the first person to be consulted where the student has issues that are academic in nature. The student has the responsibility to seek advice from his/her advisor. The advisor shall arrange a meeting with his/her student twice in a semester and anytime the need arises.
